All items start with the same framework. The example below shows a typical item’s structure. Note the highlighted elements that are visible to the customer. There is other information relevant to an item, such as the account code and receipt notes, which is not visible. The screenshots below are labeled with numbers that coincide with the element descriptions below.

Web Store Item Elements
- Item Name: 254-character max. Title of the item; can contain letters, numbers, and special characters. Avoid lengthy titles but aim to create a descriptive and succinct name. If a multi-campus district, we recommend including the campus name (shorthand, code, or spelled out) as a prefix to easily identify in receipts and reports.
- Product Description: Optional field that allows items to provide document links, item details, payment information, etc. In Order Entry, if no description is used, the item displays as the Order Entry Item screenshot above; if a description was added, it would land where label 2 sits.
- Cost: Price associated with the item. Price can fixed or variable.
- SKU: 20-character limit. A custom, non-sequential, “shorthand” identifier of the item. Appears on item listing, reports, and receipts. SKUs must be unique, succinct, and relevant. If your district has multiple campuses, we recommend including the campus identity in the SKU.
- Quantity in Stock: Restricts how many times an item can be processed. Enabled with the “Manage Quantity in Stock” feature. (Example: 10 shirts available, quantity in stock is set to 10. Once depleted, item is “out of stock”.) Backordering can be enabled to allow over-purchasing of the quantity in stock.
- Modifier: A drop-down grouping of options that collect additional data uniformly, such as teacher, grade, size, etc. Pricing can be assigned per option and will automatically adjust the item’s assigned cost. Modifiers will list on the item sequentially as they are built and cannot be rearranged; the options within modifiers can be reorganized per item. Modifiers are incompatible with Order Entry; the data should be collected in the text box (see Order Entry Item screenshot section labeled “6-7”).
- Text Box: 240-character limit. Allows free-type entry by purchaser. Can be made required or optional. To restrict character entry to anything less than 240, change the numeric value.
