Assemble Documents
The RevTrak statement (emailed) and bank statement will be needed.
Identify Start/End Dates
- Log in to Portal.
- Click Reports > Gross Report by Date.
- Select a deposit account and reconciliation dates.
Start Date: Use the 25th of the month prior to the one being reconciled.
End Date: Use the last day of the month to be reconciled. - Click Run.
- Next to Summary Only, check the box and click Submit.
This gets a list of bank deposits for reconciling to the bank statement. Keep the report open.
- In the bank statement, find the first and last RevTrak deposits for the month being reconciled and compare to the RevTrak Gross Report.
- Record the dates of the first and last RevTrak deposits to run the next report.
There should also be a debit, or withdrawal, from RevTrak. The amount will match the monthly RevTrak merchant statement that shows total fees for the previous month.
- Close the current RevTrak report.
Reconcile to Bank Statement
- In Portal, click Gross Report by Date.
- Enter the new start/end dates.
- Click Run.
- Next to Summary Only, check the box and click Submit.
- Save or print the report.
- Compare to the bank statement and confirm each deposit went to the bank account.
Deposits may not appear in the bank statement sequentially as a result of the bank's posting process. All deposits should be listed in the account.
Post Deposits to Financial Software or General Ledger
To update financial software or general ledger, use the same date range from the bank statement with the Deposit Report by Account Code or Gross Report by Product (SKU) in Portal. If a different format is preferred, save the report in a different format or generate a report with the Payment History module.
Shipping, Handling, Tax, and Software Admin Fees
Enable/disable these features to itemize reports.
RevTrak Merchant Statement
RevTrak statements arrive via email approximately 2-3 business days after the merchant statement is sent. The statement includes any fees that will debit from the account(s), such as processing fees and equipment purchase/rental.
